  • Steven will continue to coordinate the Visegrad Project (but not take on other roles) for 15 hours/week until next spring or summer. He will confirm this by Tabor.

  • Radka will prepare a set process or guidelines for handling/making receipts and invoices.

  • Randy will bring his small home printer to Tabor for making invoices there.

  • From now on, full-time people are to start by noon. Part-time people are to start by 1 pm. Exceptions can be negotiated.

  • EVS (intern) roles should be more defined - with participation in projects according to personal interest and network priorities

  • Kamila, Radka and Randy are officially responsible for ICC but they can give 'power of attorney' to project coordinators to sign things concerning their projects (the person doing something should ideally be responsible for it)

  • The monthly bulletin could be a volunteer task (2 days/month to prepare, plus reading and research throughout month). There should be a more defined procedure for where to read news throughout month, when/if to send pre-bulletin announcement, and how to solicit announcements from member orgs or list members.

  • Each project coordinator should be fully responsible for the project, including grant reports, web presence, finances (in coordination with Radka), etc.

  • The project coordinator should be chosen before a grant is applied for. The project coordinator should be involved in the grant writing and have an overview of everything (timeline, deadlines, finances) and responsible for running the project (even if delegating roles). This policy should be expanded and put into the office manual. In the meantime we'll find out about the possibility of project coordinators signing official documents).

  • Steve will write up the job description for the bulletin.

  • Steve mentioned in passing that guilt is his main motivation for getting things done. Although passionate about the issue, the work is often too abstract to feel that way. That's why he doesn't want to work full time for WCN.

  • Randy wondered how we could make projects more concrete without adding new projects (which we don't have time for). One idea would be to develop the idea of 'street conversions' (car-permitting --> carfree) for a future magazine theme, based on a model of an existing street in Prague. We could take our street (Kratka) and plan how it would look if carfree with a scale model, then present the model to the city and residents. It's kind of adding a new project, but could be just a one-time thing for the magazine.

  • We talked about the idea of a 'director-lite' to maintain an overview of the network and office, make sure projects are on track, ensure office kept in good order, serve as Steering Committee liaison, etc. We felt that such a position might be necessary considering the size of the office and growth of the network. Decisions would still be made all together, so it wouldn't be a full director. Kamila suggested Randy as best person for this. Randy doesn't want to take on that role, because he'd like the office to be less rather than more dependent upon him, and his future plans may mean being outside the Czech Republic, potentially in the near term if Autoholics work (behind the scenes, not public spokesperson) is available in the UK. This was discussed at a previous meeting.

  • Steve volunteers to serve as the Steering Committee member/liaison for 2006-07. Randy will take on some Autoholics Anonymous tasks/roles to balance out workload.

  • Steve suggested that we should have a capacity building/management workshop in the near future (organisational skills, time management, structuring). Perhaps Zhaba would offer that. Randy will see if not to late to have them do it in Tabor, although it might be better if in Prague and focused just on our office.

  • How to make ICC meetings more efficient? We decided to have project reports at the first meeting of each month. We might make the meetings every two weeks and/or find ways to deal with certain topics outside the meeting. No decision on that point.

  • Arie is willing to work on media and/or Mobility Justice next year, ideally after a few months' break.

  • The magazine project coordinator needs to be a half-time position.
